Our client, an international Real Estate investment firm is currently looking for a bilingual Office Coordinator to support their close-knit but growing team in Madrid.


Responsibilities (not limited to) include:

Facilities, HR & Local Finance:

  • Act as lynchpin between Spanish and other international offices for administrative needs
  • Facilities: Responsible for facilities management and ongoing relationships/negotiations with relevant outsourced suppliers: office maintenance, cleaning, landlord/agency, telephone lines, confidential waste, building access/security, insurance, catering etc.
  • HR: Coordination with global HR and local accountants to ensure Madrid payroll executed correctly, act as the "goto" person for new joiners, managing relationships/negotiations with relevant suppliers for company benefits
  • Finance: Coordination with global finance teams as well as local outsourced accounting provider. Responsible for bank account and relevant transactions/invoice payments. Downloading and submitting statements/reports and constant liaison with local accounting firm to ensure that tax obligations are met (quarterly VAT etc.)
  • Liaise with international IT support team for equipment, repair, software & hardware implementation and arrange new joiner Tech packs
  • Liaison with global legal team to ensure local team compliant and adheres to data protection regulation
  • Fire & Health and Safety: ensuring the Madrid office is compliant and adheres to regulation

Executive Assistant support:

  • Agenda management for two Directors (including Managing Director for Iberian team) always taking business priorities into consideration
  • VC and call set up with participants across varying time zones and geographies
  • International travel logistics (flights, car transfers, visas, hotels) for Directors as required
  • Submitting expenses to the system and reconciliation of credit cards
  • Adding relevant contacts to firmwide CRM on behalf of Directors
This office is predominantly office based. A % of remote work may be offered following successful completion of the trial period.

Location - Madrid, Castellana

Salary - Circa €45,000 + Benefits + Discretionary Bonus
