Key responsibilities for this role include:

  • Support the Hospital Innovation and Market Access team in the activation of consultations towards HCPs, in compliance with company SOPs (FMV, data privacy, country regulation)
  • Manage the organization of function meetings in synergy with the Meeting & Events department by verifying where within the BU's purview, the availability of meeting rooms onsite or at external locations, preparing the materials/documentation needed for the meeting, verifying the availability of participants, managing logistics for hospitality, and overseeing any additional activities that may be necessary for the efficient success of the meeting.
  • Arrange Department travel according to corporate guidelines where individuals do not have to manage them through the Concur portal.
  • Ensure the proper administrative management of departmental OPEX by ensuring the correct entry of the RdA into the dedicated ERP and verifying the subsequent approval flow.
  • Manage and monitor the definition of new supply contracts related to specific Hospital Innovation & Market Access needs, uploading into the dedicated ERP and subsequent approval flow, contract signing and start of supply in collaboration with the Legal department.
  • Manage the entry of orders and related contracts into LCM pertaining to services and projects under the responsibility of the Hospital Innovation and Market Access teams.
  • Support calendar management, information dissemination, MS Teams data repositories, Sharepoint.
  • Liaising with CoE team, communication with vendors, facilitating timely and efficient teams collaboration on Regional and local level, setting up communication platforms, etc.
  • Facilitating of administration activities across multiple internal/external multifunctional teams.

The minimum qualifications for this role are:

  • Commercial education or equivalent.
  • Proven work experience: 5+ years in executive assistance.
  • Fluent in English (proficient), other languages are an advantage.
  • Knowledge and experience with LMC, Hippo, customer engagement SOPs.
  • Knowledge and experience with Viatrisspecific systems is a big advantage.
  • Strong communication, project management, organizational and planning skills.
  • Strong experience in delivering service to internal clients, ideally at a senior level.
  • Collaborative work style and ability to work with executives and colleagues in a diverse team.
  • Excellent knowledge in all Microsoft Office products, especially Outlook and PowerPoint
  • Ability to multitask and determine priorities and take ownership.
  • Selfmotivational with ability to adapt to a rapidly changing environment.
  • Reliable and committed personality with a high integrity to deal with confidential information.
  • Experience with complex structures and matrix organizations.
