International Private Equity firm, Madrid:


Our client, a well-regarded international Private Equity firm, is currently looking for an Office Manager & Executive Assistant to support their well-established team in Madrid.

Responsibilities will be split between Office Management and Executive Assistance and will include:
Office Manager

  • Acting as link between international headquarters and Spanish office
  • Overseeing all administrative coordination of the office, maintaining a wellorganised and efficient workplace
  • Maintaining the condition of the office and arranging any maintenance or Landlord as required
  • Collaboration with service providers (travel agency, etc.) acting as key contact, working to established budget
  • Liaison with local accountants and global finance team to provide support regarding invoices and relevant tax submissions for Spanish office
  • Overseeing compliance issues such as data protection and company procedures
  • Liaison with IT for any issues within the office and act as key contact
  • Implementing H&S policy in the office & act as key contact
  • Receiving visitors and ensuring they are well looked after
  • Order office supplies, monitor expenses and identify cost saving opportunities
  • Ensure that new hires have necessary equipment when joining and coordinate inductions
  • Acting as the go to person for administrative and office needs
  • Working closely with the Head of the Spanish operation, assisting with operational tasks for efficient running of office
  • Effectively archive important documentation to be promptly provided to Team members
Executive Assistant

  • Agenda and travel management for entire team
  • VC and call set up with various participants across time zones, always anticipating schedule conflicts and prioritising key objectives
  • Travel logistics for team
  • Expense reports and credit card reconciliation
  • Organising events (offsites, team building, training etc.), assisting with marketing materials and attend functions when requested
This position is predominantly office based.

Location Madrid, Barrio Salamanca

Salary Dependent on Experience + Discretionary Bonus

Timetable Full time
