ABOUT THE POSITION


As a HR Retail & Office Assistant, you will play a vital role in ensuring that our employees in our El Corte Inglés (ECI) concessions and Retail stores are supported and valued.

You will be part of the Spanish sales team, based in our office in Barcelona.


In this role, you will handle overseeing employee contracts, data management, and liaising with the Payroll & Benefits team from the EMEA HQ to ensure correct compensation and bonus calculation, as well as time management.

Additionally, you will work on improving employee onboarding, communication, and fostering a sense of community among employees.

As part of the job, you will also oversee office management, organize events, and manage coordination related to these events.

HOW YOU'LL MAKE THE DIFFERENCE

  • Human Resources for ECI and Spain Retail Stores_
  • Working in close collaboration with our Spanish management team to support ECI concessions and Retail in Spain, in all functions of Human Resources including people administration, benefits, compensation, employee relations, employment contracts and employee database.
  • Preparing employment contracts according to established rules by Legal Advisor, managing any amendments of contracts, and completing the signature process
  • Workday Database Management;
  • Management and tracking of timesheets, holidays, and sick leaves
  • Respond to employee inquiries about payroll, benefits, and others; review the monthly bonus file for ECI and Retail employees
  • Recruitment: coordinate recruiting actions to cover every movement within ECI staff, either for permanent or temporary positions; sending job offers proposals to new employees, managing new hire procedures and authorizations of ECI, admissions and validations. Managing all required credentials and actions related to UCAGECI
  • Employee onboarding and experience: develop initiatives to enhance the experience of our ECI staff during their journey in the company by developing global employee communications, training, opportunities to connect with each other, etc.
  • Health and Safety: Keep up to date documentation about risk prevention and medical reviews with Spass; liaise with H&S company to schedule medical visits, certificates, etc.
  • Keep up to date on collective bargaining agreements in locations where we have a concession or a retail store
  • Office management support_
  • Perform various administrative duties including special projects for Sales Manager and Regional Director
  • Manage the inventory, purchase, and maintenance of office and marketing supplies and equipment in line with office requirements
  • Ensure that the office and showroom facilities are assessed for compliance with health and safety laws.
  • Administer the company car fleet according to the car policy liaising with the Regional Director.
  • Coordinate with local agency to book hotels/flights/hotels/trains for Sales team & customers
  • Prepare meeting rooms logistics as needed
  • Coordinate with the Sales team to set up the showroom for new season collections
  • Ensure all insurance policies in partnership with the HQ, including public liability, building, company car cover and all employees are legally sufficient and keep proper records for the subsidiary (Barcelona) and the Retail stores in Spain

YOU ARE

  • You are fluent in Spanish and in English, and you can communicate effectively orally and in writing, in oneonone situations, in group settings, and with employees of all levels.
  • You enjoy providing support and know how to find and implement solutions related to HR and business needs
  • You have a very strong attention to details, know how to prioritize. and can confidently handle various projects and multiple deadlines at the same time
  • You have diplomacy and discretion when handling matters which are confidential and/or sensitive in nature.
