Summary of Position
The Academic Program Assistant reports to the Academic Director and supports the academic team with student
- and faculty-facing work. The role works closely with the academic team on course development, student registration, grade reporting, and attendance tracking as needed. The position also assists with organizing out of classroom activities with clear learning objectives.

Duties and Responsibilities

  • Assist faculty and the Madrid academic team with course development, student registration, grade reporting, and attendance tracking
  • Support academic staff and faculty with reservations for the delivery of guest speakers, cocurricular outings, and cultural activities, including staffing them outside the classroom, as needed
  • Coordinate and implement cocurricular activities for Madridbased students in hybrid courses taught at other CIEE locations (London, Copenhagen, Berlin, Rome, Paris, Cape Town, etc.)
  • Support the Madrid academic team with Service Learning & Internship placements for students in liaison with institutional partners
  • Monitor the feasibility of activities in compliance with current health and safety regulations
  • Prepare activity pricing, contact venues, make group reservations, and arrange guest lectures
  • Keep an accurate, uptodate log of the Academic Department expenses and reservations for periodic review
  • Liaise with service suppliers to ensure that payments, reimbursements, and cash requests are made on time
  • Assist with the planning and execution of cultural, academic, or orientation programs. Staff may be assigned to work overnight or weekend excursions as needed, with corresponding vacation time in compensation
  • Participate in the emergency staffonduty telephone rotation system
  • Other duties as assigned

Knowledge Skills and Requirements

  • Demonstrate a proactive, collaborative, and organized working style with a positive outlook Have a proven ability to work efficiently and problem-solve collaboratively with students, staff, and faculty in an academic environment Prove capable of managing multiple projects at once to achieve clearly stated goals and meet deadlines
  • Have bilingual or high-level Spanish and English language communication skills
  • Have knowledge of Madrid and its cultural resources
  • Minimum 1 year of experience in office administration and reservations
  • Hold a bachelor's degree (grado) at minimum Be proficient in Microsoft Office, willing to learn new systems platforms
