- Manage assigned event projects from start to finish: planning, budgeting, quality, client communication, etc.
- Coordinate internal and external teams during preparation, on‐site execution, and project wrap‐up, ensuring compliance with client guidelines and processes.
- Deliver projects according to client goals, scope of work, and KPIs.
- Oversee the creation and delivery of client proposals (concept, planning, timeline, budget, resources, quality).
- Master multi-trip coordination, managing a high volume of travel arrangements across trains, flights, other transport and accommodation with precision and care.
- Participate in event debriefs, gather client feedback, and share insights with the Region Lead.
- Ensure each event/project is profitable by managing and verifying all revenue and expenses.
- Handle all administrative and financial reconciliation for assigned projects.
- Manage cash flow and lead supplier negotiations (pricing, payment terms, cancellation policies, upgrades, commissions).
- Conduct site visits and support supplier selection when needed.
- Ensure pricing and processes are correct and efficient.
- Implement and update operational procedures as needed.
- Maintain internal tools and files (Cvent, records, databases, etc.).

- You bring at least 3 years as MICE and Travel Specialist or Manager in the Pharma industry.
- You are a clear, professional, and persuasive communicator in both written and verbal interactions with clients, able to communicate fluently in both Portuguese (Portugal) and English.
- Professional education in Event Management, Hotel Management, Tourism or another relevant domain.
- You have in-depth expertise in Amadeus, confidently using the platform to book a wide range of travel services with speed and accuracy.
- You have a sharp eye for the details, because you know that excellence lives in the small things. Every booking, every budget line, every email reflects your commitment to perfection.
- Cvent level expert or any other related platform.
- Bonus points if you have: Cvent User Proficiency, Travel Agent Certification, Amadeus Certification and Spanish (not mandatory).
