Administrative Services Assistant Role Profile

Key Responsibilities:

Transportation coordination:

  • Overall coordination the bus routes
  • Subscriptions and changes in ridership
  • Managing bus route app for parents and bus monitors
  • Troubleshooting when there are problems on routes
  • Managing claims
  • Acting as LES point person for communication with all bus supplier employees

Dining Hall coordination:

  • Ensuring quality of food services
  • Giving feedback from LES clients to food service provider and building improvement plans
  • Managing subscriptions
  • Ensuring school billing is to correct users

Uniform administration:

  • Showing families how to use the online shop
  • Maintaining current status for online shop
  • Coordinating with offsite physical shop for tryons
  • Acting as chief communicator for LES for uniform
  • Distribution of uniforms upon delivery
  • Control uniform banking (collections) on purchases and orders
  • Managing invoices from uniform supplier

School Accidents (Pupils) administration:

  • Supporting families
  • Managing claims
with insurance company


Accounts Receivable /Billing:

  • Keeping records on outstanding debts
  • Communicating with families with outstanding debts and recovering outstanding fees
  • Regularly reporting to Head of Administration / Finance and, as needed Head of Finance (Iberia)
- invoicing accounts, as requested

  • Using Student Information System for invoicing

Other responsibilities:

  • Other duties, as assigned by either the Head of School and/ or Head of Administration (e.g. one off projects)
  • To support the administration team in periods of absences, ensuring the reception is always covered and client queries are dealt professionally within a timely manner
  • The above details are not exhaustive and the post holder may be required to undertake tasks, roles and responsibilities as may reasonably be assigned to him/her by the Senior Leadership team
Skills, Qualifications and Experience


Essential:

  • Initiative, energy, drive and competitive spirit
  • Proficiency in English and Spanish
  • Customer service orientation and negotiation skills
  • Flexible, positive and "cando" attitude to work
  • Similar successful experience in a business or administrative environment.
  • Commitment to safeguarding and equality for staff and pupils and being able to implement it in everyday practice.
  • Good communication and effective problemsolving skills
  • To be friendly and cooperative when working with colleagues as part of a team
  • To have excellent management skills and to be able to follow the school's disciplinary code
  • Ability to work under pressure and prioritise effectively
  • Commitment to maintaining confidentiality at all times
  • A commitment to getting the best outcomes for all staff and pupils and promoting the ethos and values of the school

Desirable:

  • Handson experience in operating spreadsheets


  • Familiarity with reconciliations

  • Bank account and Payment gateways
