Administrative Assistant

For our international office in Marbella (Málaga), Spain, we are looking for highly motivated, independent, skilled individual to join our international team as a Team Admin assistant.


Administrative Assistant Job Responsibilities:


  • Provides administrative support and duties to ensure the efficient operation of the office
  • Schedules face to face and or video conferences/meetings in many different time zones
  • Takes the lead regarding all operational requirements & administrative projects where needed
  • Organises travel arrangements when required for senior staff including but not limited to; booking International flights, cars, and hotel/restaurant reservations
  • Supports the wider team where requested & contributes to team effort by accomplishing related results as needed
  • Maintains the operational side of the office by completing preventive maintenance requirements
  • Helps guide and manage junior staff by being the first point of contact for any ad hoc requests and queries
  • Maintains office supply inventories by checking the inventory, anticipating needed supplies, placing and expediting orders etc.
  • Support others in the daily use of data systems and ensure adherence to company standards

Administrative Assistant Skills and Qualifications:


  • Reporting, administrative & writing skills
  • Excellent knowledge relating to all things Microsoft Office
  • Understanding how to manage and create new and current processes
  • High level of organisation skills is a must
  • The ability to problem solve and accurately analyse information where needed
  • Outstanding level of professionalism in all forms of communication (both internal and external)

Education and Experience Requirements:


  • 3 years of administrative assistant experience (essential)
  • Knowledge of appropriate software including Microsoft Word, Excel, and Outlook (required)
  • Understanding of Asana and Pipedrive will be considered an extreme advantage
  • Excellent English, both written and verbal alongside great presentation skills
  • Valid driver's license
