PURPOSE OF THE JOB:


  • Under broad supervision of the Facilities Manager, performs managerial work to assist in the administration and coordination of all activities.
  • This includes supporting the maintenance team and executes administrative tasks with competent, dynamic and friendly skills. A wideranging and responsible role requiring strong administrative' IT' organisational and communication skills and a proactive 'cando' attitude.

MAIN RESPONSABILITIES:


  • Act as the point of contact between the Maintenance Team and other Support Functions
  • Handle requests and queries appropriately
  • Maintain professional and personal agenda, arrange meetings and appointments, and provide reminders
  • Produce reports, presentations, and briefs
  • Develop and carry out an efficient documentation and filing system
  • Invoice management; suppliers' creation, purchase Orders creation and followup with suppliers and accounting department with managing expenses
  • Maintaining maintenance computer system (CMMS) by updating and entering data/creating and distributing documents
  • Take charge of all Purchase Request, Purchase Orders, Invoices including managing external vendor queries
  • Generating and maintaining records related to grievances, global facilities contract performance reviews, and contractual penalties
  • Maintain team budget and spend analysis and periodic report to Facilities Manager so as not to overspend

EDUCATIONAL REQUIREMENTS:


  • High School & Module on administrative tasks
  • MS Office package
  • Languages: English

EXPERIENCE:


  • Experience of 1 years in an industrial environment as support of Maintenance or Production departments
