In this position, you will oversee and optimize office operations across Europe, including administrative support, budget management, event coordination, and ensuring efficient cross-departmental collaboration.

This role will be based in Madrid in a hybrid model.

Requirements:


  • 25 years of working experience in an administrative/office management role in a global company
  • Experience with Google Workspace and Microsoft Office
  • Experience in working with management or Clevel executives
  • Experience with coordinating travel arrangements
  • Experience with invoices/payroll systems
  • Experience with coordinating office and employee travel and events logistics
  • Great attention to detail and analytical abilities
  • Excellent organizational and time management skills, and ability to prioritize tasks
  • A selfstarter with the ability to work independently
  • Excellent written and verbal communication skills in both English and Spanish. Advantage to additional EU language(s)

Responsibilities:


  • Support the company operations in Europe by maintaining the office systems and addressing employees queries
  • Maintain office and employee information using BambooHR and other systems and tools used for the HR operations
  • Implement new administrative systems, such as record management
  • Manage the office budget, including supplies inventory, and place orders when necessary
  • Maintain the office layout and supplies of stationery and equipment
  • Create, revise, and maintain office policies and procedures, and ensure they are implemented appropriately
  • Coordinate chair meetings with staff and document meeting minutes
  • Local and abroad travel coordination
  • Work crossdepartment to ensure smooth collaboration across the company and a highquality delivery
  • Work closely with Sales and Marketing to coordinate and prepare logistics, travel, and administration for conferences, summits, training sessions, and other company events across Europe
  • Identifying market trends/updates meant to ensure a better admin operation
  • Create and present reports to management monthly
