The role
An exciting opportunity has arisen to join our People Team at the CRG in Barcelona.

We are seeking an experienced Personnel Administration & Labour Relations Coordinator to implement and maintain the centre's personnel administration and labour relation programmes, policies and procedures advising and coaching managers and employees on labour topics.

As a Coordinator you will oversee the daily operations of the payroll, contract management and compensation managing end-to-end processes to ensure personnel life-cycle is timely, accurate, and compliant.

Reporting to the Head of People, the main responsibilities of the _Personnel _Administration & Labour Relations Coordinator_ will be:

Team Coordination:

  • You coordinate/monitor daily activities and goals of the area (two people) ensuring planning and tasks agreed are run in a timely and proper manner. You report deviations, if any, and propose alternatives.
  • You follow the objectives of the area and report on a monthly basis their status.
  • You build a supportive environment within the team fostering collaboration and good practices.

Personnel Administration:

  • You act as an advisor and main contact point for Personnel People policies, process guidance and compliance interpretation by creating a true strategic partnership with hiring managers and employees, assessing them, coaching them and driving elements of the people strategy for the groups of responsibility.
  • You coordinate monthly payroll with the external payroll service provider.
  • You ensure compliance with the legal aspects and manage the entire life cycle process from the hiring until the leaving process (initial working contract, compensation, renewals/ modifications and contract's termination ).

Labour Relations:

  • You advise managers and employees in work relations topics aiming to resolve any daytoday issues that may arise.
  • You participate in the regular communication with the different CRG Communities Representatives by contributing to negotiate request raised by the employees.

Policies & Procedures:

  • You manage, improve and scale various administrative processes such as payroll process, contract management processes, KPIs process, ERP processes and review process administrations.
  • Proactively document any new policies, and amend any existing ones requiring updates.

Reporting, Metrics & KPIs:

  • You track and report on key HR metrics like headcount/FTE, salaries' evolution, cost per hire, forecast scenarios and so on.
  • You oversee and improve the set of strategic KPIs for your area of expertise, analysing and proposing improvement measures.

Projects:

  • You drive and/or collaborate in specific projects such as "Time record", "Salary record", "Business Process Management"

Budgeting:

  • You participate in the reporting and personnel costs by Labs/Units/Department (actuals and forecast), and helping create personnel budgets.

Whom would we like to hire?

Professional experience

  • Extensive experience in the position offered (minimum 5 years);
  • Deep knowledge of Spanish labour laws;
  • Wide experience in coordinating a personnel administration area with a small team;
  • Proven track record in analysing personnel data and forecasting salary scenarios. High command of excel is a MUST;
  • Good understanding of basic financial knowledge;
  • Experience of using HR systems (such as Oracle, SAP )

Education and Training

  • University degree preferably in Labour Relations, Law or related discipline
  • Master's Degree in Human Resources Management

Languages

  • Fluent in English, Spanish and Catalan

Technical skills

  • Outstanding knowledge of MS Office, especially Excel and PowerPoint
  • Competence in project management
  • Extensive knowledge of labour laws
  • Deep knowledge of HR programmes and processes (e.g., performance management, talent management, employment laws )
