Hi there We are Semrush, a global IT company developing our own product - a platform for digital marketers and this is our Office manager - Confidential for those who possess a strong sense for detail, analytical skills and are ready to combat discrepancies in financial records.


You can get to know the team better at one of the interviews, but some brief information about future colleagues will be useful now.

The global Administrative team aims to provide an outstanding workplace environment and support services for Semrush's employees. Our scope includes office set-up, office services, IT equipment, procurement, and travel services.

Tasks

  • Coordinate with property management, vendors, and suppliers to ensure smooth office operations
  • Maintain office, cleaning, snacks, and beverage supplies by means of weekly orders to varied vendors
  • Collaborate with Human Resources, IT, and other departments to help with new hire onboarding duties
  • Order laptops, IT peripherals, and workstation furniture to ensure new employees are enabled with the right equipment to be comfortable and productive from Day
  • Update seating plans and maintain desk/room reservation system to accommodate visitors and growing teams
  • Work with Office Design department for all office interior decorating needs and furniture orders
  • Manage the full cycle of vendor relationships: proposals, contracting, purchase orders, and invoice receipt
  • Manage document flow and archiving
  • Work closely with HR on planning and executing company outings and events
  • Keep a close pulse on the needs of employees by being accessible and approachable in the kitchen and other common areas.
  • Greet and assist visitors when they arrive at the office
  • Receive mail and packages and distribute to staff
  • Prepare outgoing mail and packages for shipments
  • Run errands and perform miscellaneous jobrelated duties and adhoc projects as assigned.

Requirements:

We think that this experience and competencies will help our future colleague to join the team:

  • Spanish and English language skills
  • High school diploma or GED equivalent required
  • Previous experience in an administrative/support role
  • Computer literate and proficient using Microsoft Suite
  • Experience using office machinery (fax, printer, copier, phone systems etc.)
  • Proven record of going the extra mile, over achievement
  • Meticulously organized, detailoriented and proactive
  • Experience with setting up and troubleshooting IT and Audiovisual equipment
  • Passion for customer service and creating a great work environment
  • Persistent personality to overcome roadblocks to achieve a goal
  • Keeping a growth mindset in understanding the possibilities of development within oneself
  • Ability to give and accept positive productive feedback while demonstrating the capability of direct and honest feedback when needed
