Overview:


The Program Coordinator is responsible for the delivery and day-to-day management of projects and activities relating to the School's programs.

This comprises serving as the key interface between students, professors and multiple IE departments; coordinating a variety of tasks and program components, managing communication flows; implementing guidelines and policies; supporting program logistics and operations and supporting faculty members to ensure a world-class experience for our students.

Reports to the Associate Directors and oversees the work of Program Assistants when required. Will interact with all Faculty, Students, different departments of IE, and external agencies required for running the program.


Responsibilities:


Interaction With Students

  • Meet with students in order to solve issues, offer advice, and/or give support with empathy, sensitivity and a professional customeroriented approach, on a daily basis.
  • Comanage the relationship with class representatives together with other team members.
  • Support students facing academic difficulties or overall challenges within the program.
  • Manage (written and oral) communications with students, including all written regular communications and information points; presentations and information sessions; etc.
  • Using student feedback, identify ways to improve their experience with us.

Interaction With Professors And Other Departments

  • Liaise with professors to communicate specific student or group situations, request feedback, ensure timely submission of grades, syllabi, etc. and provide ongoing support to faculty members and teaching staff.
  • Collaborate with other IE Departments such as the Admissions Department, Marketing Department, Planning, Documentation, Student Services, Student Life, Registrar's Office, Maintenance Dept., International Mobility Office, etc. in order to ensure a successful student experience.

Internal Development

  • Assist the Associate Directors in the coordination and implementation of new curricular and extracurricular innovations.
  • Supervise and coordinate Program Assistants with professionalism and professional maturity.
  • Take responsibility for special program components, areas, initiatives and projects.
  • Maintain and enhance academic guides and all other materials for students and faculty.

The position requires:

Strong project management skills to provide support on short, medium and long term projects related to logistics, planning, communication with other depts. regarding program content such as electives, grade release, and other program administrative matters.

Strong leadership skills to deliver and receive constructive feedback, to communicate effectively deadlines, objectives, concepts, and ideas. Must possess the ability to see the "big picture" behind projects, daily endeavors and transmit this vision to others, particularly when leading a project or individuals. A coordinator is resourceful, creative and a problem solver.

Attention to detail to handle sensitive information such as grades, ethics committee matters, and other administrative tasks such as compiling and organizing student data, and other program-related information.
Proficient in Excel a must (i.e., capturing and recording important data, using shortcuts and formula functions, sorting and filtering data).

Problem solving skills to quickly address concerns, queries and feedback in a constructive and action-oriented manner.

Excellent communication skills both verbal and written. Proficiency in English and Spanish.

Team player that enjoys working with others in a collaborative environment, demonstrates a pro-active/positive attitude.


Qualifications:

  • Bachelor's Degree is required.
  • Bilingual, or advanced proficiency, in both English and Spanish (written and oral), with substantial professional experience in both languages.
  • A minimum of 3 years of professional experience is required.
  • International experience is strongly preferred.
  • Strong project management capabilities.
  • Experience in multistakeholder environments, as well as excellent communication skills and a strong customer orientation, are essential.
  • Experience in global management education, or working with business schools, is a plus.
