The opportunity

The role will offer support and guidance to ensure that workflow is delivered effectively and safely.

To develop a relationship built on trust with the client in addition to contributing to the development and success of Mace by supporting the management team through business development and operational activities.

This role is for 39.5 hours per week excluding lunch breaks. 8 am - 5 pm Monday to Thursday and 8 am pm Friday.


Your responsibilities will include:

  • Managing the supplier contracts, ensuring quality services, value for money and innovative service is provided.
  • Developing a relationship built on trust with the client in addition to contributing to the development and success of Mace by supporting the management team through business development and operational activities.
  • Overseeing the delivery of small project works, including moves and churn.
  • Preparing, managing and reviewing business continuity plans and actively participating in client's BCP and disaster recovery plans.
  • Raising purchase orders and receipts invoices on Mace's finance system PROACTIS.
  • Supporting with carrying out weekly site audits and monthly health and safety inspections, documenting and dealing with all issues raised.
  • Liaising with the facilities service providers, including hospitality, maintenance, cleaning and vending to ensure the overall service is timely and seamless.
  • Ensuring customer satisfaction is maintained at the highest level by providing a highquality and proactive service.
  • Managing the ticketing system PPM's and reactive maintenance.
  • Informing and meeting the stakeholders as required.
  • Providing effective and accurate communication relevant information and business communications.
  • Communicating ideas for improving business processes with a positive and constructive attitude and for maintaining this attitude with others.
  • Ensuring that any client or customer concerns or complaints are dealt with effectively and communicated accordingly.
  • Preparing, managing and reviewing site operation manual for both sites.
  • Implementing managing and reviewing process for mailroom/reception/workplace host.
  • Performing other reasonable tasks and duties requested by line management.
About you

You have some previous facilities management experience. You have experience leading or training team members. You have a good working knowledge of MS Word, Excel and PowerPoint.
