Bynder is seeking an experienced Office Manager to take our Barcelona office to the next level during our scaling transition.

As our Office Manager, you make miracles happen for the Barcelona office location. You love to organize and manage projects such as internal events, social programs, contact with suppliers and office interior. You can juggle multiple priorities at once and are a real multi-tasker.

You are famous for your positive attitude, hands-on approach and efficient working methods and make sure everything at the office runs smoothly.

You love to see work cross-functionally with all different kinds of teams and people.


The biggest project will be digitizing current processes and managing a hybrid working situation in which you try to involve both employees that work from home and those who work from the office.

You want to make the office as attractive as possible to stimulate people to come to our amazing offices but you also make sure to make the remote employees feel included.

You will have 33 colleagues in Spain either working remotely and/or working in our office. Your job is to make it as easy as possible for them to do their work wherever they are. You provide them guidance from A to Z, but you also manage them to take responsibilities on their own.


What you will do:


  • You will have an important role in making Byndies feel welcome in our office.
  • First point of contact for colleagues, suppliers, events, etc.
  • Manage all aspects of the office: order supplies, keep inventory, ensure that every Byndie has what they need in order to be successful and ensure that the office runs smoothly.
  • Answer phones and direct calls as needed.
  • Financial administration of all purchases made.
  • Take care of incoming and outgoing mail and courier services.
  • Keeps the invoice archive updated, creating PO's and manages incidents.
  • Ordering office supplies, presents, swag and process invoices.
  • Help coordinate both inoffice and offsite events.
  • Support for travel arrangements.
  • Assist with scheduling meetings.
  • Assist with new hire onboarding; setup desk space, facilitate ongoing communication regarding necessary supplies, training, etc. prior for the new hire's start date.
  • You will be guided by the previous Office manager of Barcelona.
  • You will report to the Facility manager EMEA located in the Netherlands.
  • You will be working closely together with our Facility manager EMEA and team.
  • You will learn a lot about all the aspects of Office Management.

What you have:


  • You are a motivated, proactive, independent, and organized selfstarter.
  • You are techsavvy and know your way around a computer and are a genius with Microsoft Office and/or Google Workspace (Gsuite).
  • You are able to prioritize multiple conflicting tasks simultaneously. You get things done.
  • You find it easy to build good working relationships both remotely and in person.
  • You are a team player with the drive to work autonomously.
  • You need to be available from the beginning of February/March 2023. The sooner the better.
  • Education in (Office) Management, Personal Assistant/Secretary or any Bachelor degree.
  • You possess excellent written and oral communication skills in Spanish and English.
  • You have an outgoing and friendly personality and you love to work with an international team of office managers throughout EMEA.

Nice to haves:


  • Experience with Macbook.
  • You speak/write Dutch.
  • Experience in an international working environment with different cultures.
  • Previous office management experience.
