JOB FUNCTION

ACCOUNTABILITIES

  • Participate in the planning of both internal external activities and initiatives
  • Prepare and issue presentation material for senior leadership meetings and touchpoints with the region
  • Independently drive and complete assigned projects
  • Timely delivery of tasks as well as full ownership of given assignments
  • Proactively pick up any tasks and issues as required
  • Handle contracts, signatures, and invoices
  • Welcome GM's guests and business partners
  • Continuously scout new efficient ways of working/bestpractice implementation from outside and striving for bestinclass support
  • Purchasing Management in Ariba
  • Concur expense notes (GM and ILT)
  • GM trip management
  • Approval of ILT vacations
  • Contact point with Farmaindustria (Takeda work groups maintenance, etc)
  • Environment audit preparation
  • Involvement in the Communication and Business manual review. Continuity plan
  • Comprehensive management of the ISS team (office purchases, KPI's review, monitoring of preventive and corrective measures, etc.)
  • Support ILT meetings together with Business Operations Head for Agenda, Minutes and high performing operation
  • Coordination of office management
  • Act according to Corporate, Compliance, Ethical codes and Legal standards.
  • Promote, encourage and demonstrate commitment to Takedaism philosophy and values

EDUCATION, EXPERIENCE, SKILLS, KNOWLEDGE

Education:


  • B. Sc. Degree or equivalent preferred
  • Fluent written and spoken English and Spanish (mandatory)

Experience:


  • Preferably 35 years of experience as Executive Assistant or Team Assistant within a sales/marketing organization, supporting executive level customer
  • Experience in working in an international environment (preferably within the pharma industry) and substantial experience in dealing with different cultures
  • Practical businessoriented solution approach

  • Excellent communication and organization skills

  • Able to stay calm in stressful situations
