Overview

Description

  • Ahead of our Paris 2024 operations, at OBS we are looking for profiles that will help us meet the needs of the Transport and Air Travel areas of the Games Services department, which is the department that focuses on the planning, coordination and implementation of support services, such as accommodation, travel and food & beverage to the broadcast operations of the Olympic Games.

Transport Coordinator

Transport Coordinator is the person in charge of the communication with the OBS and OCS personnel, requiring transportation in various locations of the Games and advises on the best solution (fleet, Games Time Transport Systems, etc).

Depending on the assignment, Transport Coordinator (together with other Transport Coordinators on shift and the OCOG) manages the Direct and Dedicated Service operation (60+ routes), or Fleet of Vehicles for OBS and OCS (350+ vehicles).

- Assist in the operational oversight of the OCOG's transportation systems, related to Media (Transport Connect, Direct and Dedicated Service, etc);

  • Coordinate, author and distribute training manuals, driving directions manual and other Games time manuals as needed;
  • Help organize OBS Transport staff orientation and training sessions;
  • Populate and maintain the OBS software tools (e.g. GRPS, OBS Motorpool software, etc.);
  • Train and supervise runners (students) on shift;

Depending on the functional allocation, 1-2-months long (commencing in July and finishing in August 2024) or 4-6-months long (commencing in April or May and finishing in August or September 2024) positions are open.

Paris position, current residence in France preferred.
Motorpool Coordinator

Motorpool coordinator is the person in charge of handles the communication with the OBS and OCS personnel, regarding their requests for transportation made through the Motorpool app.

Together with Motorpool supervisor and Dispatchers, Motorpool coordinator establishes drivers' shifts and schedules (approx. 120 pax), manages the daily pool of drivers and vehicles (approx. 100 vehicles).

Motorpool coordinator controls drivers' working hours and confirms them to Motorpool supervisor, making sure that all local labour regulations, including maximum working hours and extra hours.

- Schedule drivers' shifts according to operational requirements, customers' requests, events schedules and other factors, affecting the daily operation

  • Understand and relay on dispatchers and drivers work orders, messages, and information to or from Transport manager
  • Provide drivers with vehicles' folders per service and ensure the return of vehicles back to park
  • Help Dispatchers maintain vehicles fleet in good condition and arrange for repairs, if necessary, without disruptions of services and schedules
  • Report incidents, accidents, vehicles breakdown to Motorpool supervisor immediately as soon as reported

Arrivals & Departures Coordinator

Arrivals & Departures Coordinator will be responsible for supporting the flights & rail booking campaign in general and coordinating its rail component in particular.

- Formulation of travel requests to the travel agency according to internal standards

  • Verification of the issued railway tickets, their upload to the database, and further distribution to the passengers
  • Monitor rail travel budget and regularly update the Manager on the matter
  • Submission of arrivals & departures data to the Arrivals and Departures System of Paris 2024 Organising Committee
These are approximately 5-months long positions that commence in May and end September 2024. Madrid position, current residence in Spain preferred.
