An opportunity for a
Spain Patent administration and Technical support has
arisen within Airbus Defence and Space, Getafe (Madrid).


The Job Holder is responsible for a double Role in the Technology and Development Area within Airbus Defence and Space.


On one hand side:
as the Spain Patent Administrator and Technical Support, the person will be responsible for:

  • Regular updating of the database with the relevant information on Spain Patent portfolio
  • Handles formal legal documents in Spain such as invention disclosure documents, assignments, declarations, agreements
  • Assists the Patent attorneys in Spain tracking deadlines and due dates
  • Interfacing between different actors such as inventors, Intellectual Property firms, Patent Offices and inhouse Patent Attorneys.
  • Manage incentive Award Scheme in Spain and instructs payment of Spanish inventor awards
  • Ensures invoice management
- manages the OEPM annual subsidy request.

  • Supports Technology Office in administrative tasks
On the other hand, as the R&T Department Assistant


The job-holder is responsible for performing administrative & communciation duties to help members of the R&T Team to better focus on their assigned projects.

Under the direct supervision of Head of Technology and Development Department, the team assistant is required to schedule appointments, organize internal team meetings, support the management of the communication in the team as well as supporting administrative task in HR management and supply management.


  • Team Support to administrative and communication tasks
  • Organization of events/team boosters.
  • Manage agenda including the booking of conference rooms, coordinating meetings with other offices, ensure meeting attendance and follow up.
  • Support in creation of documents, presentations and reports for the team
  • Lead weekly and monthly management meetings (prepare content, logistics, MoM and follow up actions)
  • Define and anticipate needs when possible; organize / plan meetings; align with other assistants (stakeholders, functions); manage MoM (e.g. follow up communication, actions), keep distribution lists updated,Handle logistics for events, weblives, etc.
  • Take in charge the cascade of internal and external information in the team; Contribute to positive working relationships and act as facilitator within the team and with stakeholders.
  • Handle office administrative duties (phone, meeting/event admin, HR requirements, expenses ); focal point for IT and facility management; Support in organization of events, weblives; Handle relevant logistics for the team (office supplies, travel management).
  • Promote initiatives to reduce environmental footprint (reduction of printing, plastic, waste).
  • Manage and organize travels and trips. (Flight tickets and hotel booking, planning time and meetings, travel expenses management)
  • Travel status monthly report.
  • Support team communication: Create, administer and distribute Memorandums and manage relevant information from other Siglums to the teams (personalia, MoMs, HR topics, E&C reminders, reports...)
  • Creation of PO and administration of invoices (review overdue and unpaid invoices and, in collaboration with the different Departments, analyze and solve the problem that generates the blockage)
  • Prepare content and facilitate logistics of communication sessions.
  • Manage SharePoint/G-Drive (update content and permissions newcomers/leavers)
  • Ensure team cohesion and team spirit (feedback, events, surveys...)

Qualification/Experience:


  • Highly valuable: University Degree
  • Experience as both these roles is required
  • Excellent interpersonal skills
  • Proactive, flexible and eager to learn
  • Team Player
  • Good communication skills
  • Skilled with IT tools and MS office suite and G Suite
  • Fluent in English
