    Client Administration Specialist

    Provide support to Private Bankers and management (COO) on all client-focused operations.

    Assist with client administration and client management, organize workflows and ensure that processes remain timely as well as efficient and effective.

    YOUR ROLE:
    Support Private Bankers with Account opening process and Remediations:

    • Liaise with Privates Bankers and Pbas to obtain information/documentation and corroborate received information
    • Provide guidance to the Front Office in respect of the KYC/KYT requirements
    • Preparation of account opening contracts, assessing in each case the necessary forms depending on whether it is an individual or corporate account as well as the type of mandate
    • Identify potential gaps and look for misplaced information into internal tools (CRM/LA Retrieve)
    • Input data into internal tools
    • Scanning & Archiving documentations
    • Portfolio opening: control the accuracy and completeness of the account opening forms before sending to the DDC
    • Deal with the specific mailing for the clients (welcome pack, … )
    • Control client codification including, among others, the service level, fees, cluster, etc and the management profile, investment constraints and benchmark of the managed account
    Support Private Bankers with all administrative duties pertaining to the clients' accounts:

    • Daily monitoring of the accounts, act as support Private Banker for all administrative KYC file documentation issues, including daily cash monitoring
    • Ensure appropriate filling/recording of documentation of all client account documentation
    • Notify Bankers of documentation issues/pending items and hits/alerts encountered in the course of the development of business by the Private Bankers (Fatca documentation, Suitability form, … ), preparation of the forms to be renewed and coordination with Private Bankers and Pbas for delivery of the forms to clients
    • Centralization of client data remediation launched to ensure that we keep client personal data complete and up to date.
    • Support to Private Bankers for the followup and management of Processes in G2 (ie. Fee Schedule Confirmation).
    • Preparation and completeness of standard certificates for clients that strictly adjust to the templates already prepared by Legal (which are available on the Intranet), as well as ensuring the correct archiving in the branch's certificate register.
    • Deal with the specific mailing for the clients (occasional requests and regular weekly/monthly mailings of client portfolios).
    • Ensure the register of adhoc reportings is up to date.
    • Generation and printing of portfolio reports and presentations for facetoface meetings with clients.

    Support Private Bankers on review exercises:

    • Scanning into LAR of updated documentation and Compliance review forms

    Support Private Bankers with Orders Management:

    • Assist Private Bankers and Pbas in obtaining the necessary information/documentation for the correct execution of investment orders, to ensure that all Mifid requirements are met, among others, the legal documentation of the funds which can be obtained from the Allfunds website
    • Provide guidance to the Front Office in respect to the appropriate class of investment funds to be subscribed depending on the type of client, type of mandate and amount of the transaction, becoming the specialist in the Allfunds class tool
    • Support Private Bankers and Pbas to ensure that investment orders signed by clients are correctly archived in CRM by scanning all relevant documentation so that they can attach it to the corresponding activity reports. front/middle office operations.

    Legal and Regulatory Responsibilities:

    • Comply with all applicable legal, regulatory and internal Compliance requirements, including, but not limited to, the Local Office Compliance manual and Compliance policies and procedures as issued from time to time.
    • Maintain appropriate knowledge to ensure to be fully qualified to undertake the role. Complete all mandatory training as required to attain and maintain competence.

    YOUR PROFILE:

    • Minimum 'A' Level with relevant experience
    • Bachelor Degree Level desirable
    • Experience in an international, multicultural environment
