    Responsabilidades:

    Se requiere una persona responsable de la recepción y asignación de peticiones de eventos y reuniones al equipo.

    Deben realizar cotizaciones para eventos sociales y reuniones con más de 10 habitaciones, con el objetivo de obtener el mayor negocio posible en restauración y servicios del hotel.

    Esto incluye consultar con la Directora de Revenue o su suplente sobre disponibilidad y tarifas a ofrecer.

    El responsable debe seguir y actualizar las peticiones enviadas en PMS-Opera y el cuadro de revenue semanal de grupos.

    Una vez confirmados los servicios, elaborarán el contrato correspondiente.

    A partir de la confirmación de un grupo o evento, serán la principal persona responsable del grupo, actuando como enlace entre el grupo y el hotel.

    Para asegurar la coordinación de todos los detalles operacionales del grupo y de los eventos, deben informar eficazmente a todos los departamentos involucrados sobre las características y servicios requeridos.

    Además, deben elaborar resúmenes de grupo y órdenes de servicio, y supervisar los de la Coordinadora.

    También deben enviar rooming lists a la Manager de Reservas y revisar las asignaciones de categorías de habitaciones junto con el Front Office Manager.

    La distribución de resúmenes de grupo y órdenes de servicio debe realizarse los miércoles anteriores a los eventos, y se debe coordinar la reunión de repaso de BEO cada jueves a las 12:30.

    Es importante llevar a cabo el seguimiento de depósitos y pagos según las fechas estipuladas en el contrato, actualizando la factura proforma y enviándosela al cliente cuando sea necesario.

    Si surge algún contratiempo con el grupo o evento, deben resolverlo lo antes posible y luego realizar el seguimiento adecuado con el cliente.

    Finalmente, deben ejecutar el cierre de los expedientes con toda la información recibida y informar a todos los departamentos del hotel sobre los comentarios de los clientes sobre el evento o el grupo.

    Misión: Garantizar la planificación, organización y ejecución exitosa de eventos, reuniones y grupos, ofreciendo una experiencia satisfactoria y personalizada para nuestros clientes.

    Maximizar el beneficio en todas las áreas del hotel a través de la planificación y coordinación de grupos y eventos, asistiendo directamente al cliente y garantizando que los estándares de calidad y servicio sobrepasan las expectativas.
