    WHAT YOU'LL DO


    Working as part of a team, provide high-level executive and general office support in a demanding, fast-paced professional services environment. The primary goals are to leverage a pool of Partners and other senior executives time, support the broader team, and successfully serve BCG's clients.

    Activities may vary depending on the individuals supported and the existing workload, and support assignments may change at any time. The duties described below make up a typical, but not necessarily complete, list:

    Provide high-level support for assigned directors and other BCG departments as required:

    Agenda and travel coordination

    • Maintain Director's calendar; schedule, coordinate and confirm appointments, interviews and meetings, anticipating problems in advance
    • Support their travel arrangements (visa, travel and logistics, other...)

    Communication

    • Answer and screen telephone calls and take messages
    • Type correspondence, proposals, reports and other documents
    • Maintain client- and other mailing lists in close coordination with the Marketing department

    Organize internal meetings and conferences as appropriate

    • Scheduling participants
    • Booking meeting rooms
    • Arranging for special equipment and meeting room set-up
    • Ordering and setting up beverages and/or meals

    Expense Report

    • Prepares Timesheet and Expense reports in accordance with company guidelines

    Team contribution

    • Coordinate and cooperate with other Team Assistants and Executive Assistants to ensure that work is completed to highest standard and quality
    • Support and back up other members of the team
    • Mentor and support new members of the team
    • Interaction with other functions within own local office, as well as the larger BCG community

    Participate in internal projects and committees as assigned or requested

    YOU'RE GOOD AT


    Providing high-level executive support for Partners and other senior executives in a fast-paced and changing client service environment. You sweat the small stuff, have strong attention to detail and accuracy, particularly when under pressure.

    Anticipating and coordinating point-to-point travel needs as necessary. You're proactive, looking ahead at what needs to be done on all dimensions.

    Maintaining high levels of confidentiality

    Building effective working relationships with key stakeholders

    YOU BRING (EXPERIENCE & QUALIFICATIONS)

    • University degree, or equivalent relevant experience with a minimum of 3 years experience in a fast paced environment (really fast paced) supporting senior executives, strongly preferred
    • Fluent English/Spanish, oral and written, other languages valued
    • Strong organizational skills encompassing affinity with IT supporting tools
    • Good knowledge PowerPoint and Excel skills and Microsoft Office programs
    • Ability to combine hands-on attitude in operational topics and good analytical skills

    Our business management and operations team members work to ensure that BCG is running smoothly, efficiently, and productively. We are made up of executive and administrative (or case team) assistants, visual service artists, receptionists, facilities staff, and the team leaders and office coordinators who manage these operations and business management jobs.
