We are a creative production and post production house. We differ from most production companies in having our own in-house post-production studio, with animation as our distinctive touch. We are currently seeking an RECEPTIONIST/OFFICE MANAGER to join our creative advertising team in our Barcelona office.


You will:


  • Greet and welcome guests as soon as they arrive at the office
  • Answer, screen and forward incoming phone calls
  • Receive, sort and distribute daily mail/deliveries
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, provide NDA ́s)
  • Organizing the office layout and ordering stationery and equipment
  • Maintaining the office condition and arranging necessary repairs
  • Partner with HR to update and maintain office policies as necessary
  • Coordinate with IT department on all office equipment
  • Manage contract and price negotiations with office vendors, service providers and office lease
  • Assist in the onboarding process for new hires
  • Address employees queries regarding office management issues
  • Liaise with facility management vendors, including cleaning, catering and security services
  • Plan inhouse or offsite activities, like parties, celebrations and conferences
  • Arrange travel and accommodations and prepare vouchers
  • Provide specialty coffee service from a given schedule (you will receive proper training for this)

Requirements:


  • Excellent presentation aligned with our company style
  • Fluent Spanish, English level( minimum B2) and Catalan is a plus
  • High school degree
  • At least +1 years of working experience
  • Proven work experience as a Receptionist, Front Office Representative; Office Manager, Front Office Manager or Administrative Assistant or similar role
  • Handson experience with office equipment (e.g. fax machines and printers)
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and timemanagement skills, with the ability to prioritize tasks
  • A creative mind with an ability to suggest improvements
  • Experience and/or interest in the audiovisual industry is a plus
