ChangeGroup is looking for a
Property Administrator/PA based in
Madrid, Spain. The role requires to provide support to the Property Department.

Working very closely with the Architectural Project Manager, keeping them regularly updated as to progress and making them aware of developments or any issues arising in a timely manner.

Key Responsibilities

  • To receive incoming calls for the property team and to transfer the call to the appropriate person or take messages where appropriate
  • To order property equipment and supplies where directed; maintaining sufficient but not excess stocks of stationery items.
  • To maintain an efficient and uptodate filing system, both electronic and paper.
  • To ensure copies of leases are filed appropriately and a lease renewal reminder system is in place
  • To undertake any other task or adhoc projects deemed appropriate to this role as directed by the head of the property team which may include assisting were necessary in the team's workload and follow through on projects/issues in his absence.
  • To ensure that the office is organised and kept tidy and presentable at all times.
  • To produce and revise Standard Designs documents.
  • To be fully aware of the latest requirements in the management standards and procedures document and ensure that it is fully implemented both personally and by any direct reports.
  • To produce and keep Property Manual up to date.
  • Build up and maintain a database of contacts and property related issues through Property Cloud, GEMS, MDM, Freshservice and paper records
  • Monitor service level agreements with all contractors and services supplied so the company has a due diligence record
  • To coordinate and be responsible for internal Property systems.
  • To Prepare Presentations, Reports and Researchs when required.
  • To liaise with any support that Property department needs.
  • To undertake other duties as considered essential for effective procedures and services, as this list is not exhaustive.
  • The ability to use initiative along with excellent organisational and time management skills.
  • Exceptional problem solving skills and critical thinking.
  • Excellent written and verbal skills
  • Good knowledge of English is required.
  • Native Spanish speaker and fluent in English is essential
  • Able to produce graphic design work using Adobe, in Particular Photoshop.
  • Advanced use of Microsoft Office, in particular, Powerpoint and Excel.
  • Ability to travel if required.
