Overview

DescriptionDuties

  • Establish solid relationship with the International Committees (IOC/IPC), the Organising Committees (OCOGs) and across the Organisation that helps with daily communication and getting information in a timely manner.
  • Contribute to and support the preparation, publication and distribution of material content and the overall external and internal communications plan through and the T75 intranet.
  • Ensure the website update communication templates in SendGrid is onbrand, errorfree, and adapted to each Games operation.
  • Responsible for drafting/sending the Website Update notifications via SendGrid to external audiences.
  • Assist other departments across the organisation with external communications via SendGrid.
  • Create and maintain external distribution lists during Games and nonGames time (IOC, IPC, OCOG, MRHs).
  • Responsible for distributing the MRHs contact list to the OCOGs by ensuring a good communication channel with Broadcaster Services team and the Media Rightsholders to constantly maintain the distribution lists up to date.
  • Manage and maintain the website user's interface, as well as provide technical support to internal and external website users.

  • Collaborate with Multimedia Services and Software Development teams and provide guidance and feedback on the OBS Website administration needs/issues and the OBS Mobile Application (when available).
  • Provide technical support to internal and external users of the OBS Mobile App during Gamestime.
  • Liaison for the OCOGs for the World Broadcasters Briefing/Meeting Events and Daily Briefings (Gamestime) anticipating challenges, prioritising tasks, and effectively managing resources on a very tight schedule.
  • Prepare the review timeline for the WBB/WBM presentations and coordinate the process.
  • Responsible for drafting the WBB/WBM Show Rundown and Running Order (CEO's script).
  • Carry out periodic reviews of the Olympic Host Contract, the Olympic Games Guides and IOC Media/Broadcast and managing deadlines and in coordination with the IOC.
  • Develop and maintain the OBS Terminology site in SharePoint.
  • Liaise with the IOC for the Golden Rings Awards communications to the MRHs.
  • Provide support with OBS Media Requests.
  • Write, edit and produce periodically corporate reports for internal and external audiences (Weekly and OBS Board quarterly reports)
  • Manage the departmental licenses subscriptions/access/renewals in coordination with Finance.
  • Collaborate with Finance Department to review the inventory of Information equipment, stock material and fixed assets.
  • Coordinate and facilitate purchase orders approval.
  • Analyze and prepare the department's annual Corporate Budget through consultation with the team and monitor department expenditures.
  • Develop and maintain departmental guides for internal procedures.
  • Keep track of the Information department file system (archive).
  • Responsible for keeping the internal department calendar up to date.
  • Resolve officerelated malfunctions and respond to requests or issues.
  • Work simultaneously in different projects while maintain the smooth run of the Information & Multimedia Services Department, including overseeing department's duties on staff holidays absence.
  • Perform other communications duties as assigned that help promote efficient daytoday operations.
Experience

  • Bachelor's degree in Business Sciences, which covers from administration and marketing to accounting and finance job.
  • Proven experience as a backoffice assistant and other relevant administrative specialist role.
  • Excellent level of English required (native or bilingual).
  • Excellent written and verbal communication and interpersonal skills.
  • Strong organisational and project management skills with attention to detail with the ability to prioritise and multitask.
  • Solid knowledge of multiple communication platforms, including print, video, website, and intranets.
  • Working knowledge of office equipment.
  • Thorough understanding of office management procedures.
  • Analytical abilities and aptitude in problemsolving.
  • Experience with Microsoft Office 365 Software, Microsoft Project, Adobe Acrobat, and SharePoint.
