Job Objective
IPG has a Financial Shared Services Centre in Spain.

It currently provides a managed payroll service to IPG's agencies in Spain Payrolls are presently prepared by a 3rd party:

ADP upon SSC payroll department reviews and validations, Payroll accountant has to provide a technical assistance to any contact of IPG Subsidiaries ie CFO, HR and employees.

Payroll accountant can also participate to any project to implement new companies into the payroll tool upon needed.


Main responsibilities

_ Responsibilities linked to processes_

  • Process payrolls for IPG Spain agencies in compliance with local regulation
  • Process payroll for IPG Spain agencies in accordance with IPG standard procedures and the agreement with each agency
  • Ensure all payroll data is accurate, kept up to date and delivered to any external provider(s) in an timely manner using Hris tool (People Soft) if available
  • Document payroll processes as required using ADP CRM tool for all communication
  • Ensure changes and amendments to payroll data are accurate and completed in a timely manner in accordance with IPG standard procedures and the agreement with each agency, and well documented on CRM Ticket,
  • ADP CRM Ticket to be explained to SSC Manager if needed prior to approval, no ticket with fees have to be approved by the payroll team itself,
  • Ensure appropriate payroll payments to employees are accurate and are made within agreed terms, using ADP GFF automated tool in connection with Treasury,
  • Deal with any specific Customer Service issues from agencies and/ or employees as required
  • Carry out data entry activities related to payroll
  • Maintain archived records to satisfy audit and statutory requirements
  • Ensure confidentiality of all records
  • Ensure compliance with relevant employment law and industrial relations requirements
  • Assist and contribute to the implementation of relevant payroll and other HRIS technologies
  • Ensure that payrolls responsible for are processed in accordance with IPG policy and Sarbanes Oxley
  • Participate in audit processes within the Payroll department, including preparation and review for statutory, internal IPG, client and any other audit/review purpose
  • Ensure statutory deductions are processed accurately and are paid over to appropriate authorities in the required time frames.
  • Propose any process improvement.
  • Month end closing responsibilities related to payroll entries and adjustment.

  • Continually enhance the Spain SSC's reputation for excellent Customer Service both internally and externally
  • Maintain the good image of SSC Spain
  • Maintain good working relationships with other SSC teams
  • Ensure service is delivered in line with agreed controls and procedures
  • Ensure service is delivered in accordance with Service Level Agreements
  • Initiate and support continuous improvement opportunities (both system and procedural)
  • Collect and provide information for monthly key performance indicators

Know-how and experiences

  • Experience of using payroll software, in particular ADP
  • 3 years' experience of working in a payroll processing role
  • Experience of processing high volume payrolls, with good knowledge of associated controlsand procedures
  • Experience working with an external payroll provider
  • Good knowledge of payroll best practice
  • Good working knowledge of the calculation of manual payments
  • Good understanding of relevant legislation include Data Protection, payroll taxation provisions
  • Experience in a large media/advertising industry will be an advantage
  • Experience of working in a shared service centre will be an advantage
  • Strong communication and customer service skills
  • Strong problem solving and organisational skills
  • Ensure confidentiality of all records
  • Experience of, and competence in using, integrated ERP software (particularly SAP) anadvantage
  • Competent with Microsoft Office tools
  • Able to work without constant supervision
  • Able to prioritise activities effectively
  • Well organised, methodical approach to working

Performances measurement
Efficiency of the payroll accountant will be measured with the indicators below:

  • Accuracy of Payroll runs to an agreed % of error rate
  • Number of Payroll queries and agreed % of response times
  • Number of Agency related queries and agreed % of response times
  • Delivery of reporting according to deadlines
