We are seeking our next Office Manager to join our team and help us ensure smooth office operations within the office management, procurement and other processes.

You will be part of a globally distributed team, with the headquarters in Barcelona, near Poblenou.

You will share your days with a diverse group of people, including the founders of Seqera, the people and finance team, and some members of the engineering and marketing teams.

We are building a distributed team, but always invite new joiners to visit us at the office for at least one week.

You will play a key role here.

About the role.


Your mission will be to:

  • Coordinate with property management, vendors, and suppliers to ensure smooth office operations.
  • Maintain office, cleaning, snacks, and beverage supplies by means of weekly orders to varied vendors.
  • Collaborate with People area, IT, and other departments to help with new hire onboarding duties.
  • Order laptops, home office equipment and workstation furniture to ensure new employees are enabled with the right tools to work.
  • Coordinate with the Finance Department regarding invoice approvals, reporting, and compliance per Project Finance requirements.
  • Propose desk/room reservation system to accommodate visitors and growing teams.
  • Manage the full cycle of vendor relationships: proposals, comparative analysis, contracting, purchase orders, and invoice receipt.
  • Manage document flow and archiving.
  • Work closely with People on planning and executing company outings and events
  • Provide support to employees in travel arrangements for company events
  • Provide support to the C-Level on administrative tasks.
  • Partner with the rest of the People team in Spain to update and maintain office policies as necessary.
  • Support the People Operations Specialist with the Health and Safety within the office, ensuring all H&S is taken care of and there is appropriate fire marshall, health and safety officers trained.
  • Greet and assist visitors when they arrive at the office.
  • Receive mail and packages and distribute to staff.
  • Prepare outgoing mail and packages for shipments.
  • Run errands and perform miscellaneous jobrelated duties and adhoc projects as assigned.
About you.

We are looking for someone with:

  • Experience of +3 years as an Office Manager, Front Office Manager, or Procurement assistant.
  • Proven experience in project execution.
  • Fluent or native English and Spanish.
  • Excellent written and verbal communication skills with strong attention to detail.
  • Strong organisational and planning skills in a fastpaced environment.
  • Patience and intuitive skills are also a key parts of this role, each day is different and it's important to be able to adapt.
  • A creative and enthusiastic mind with an ability to suggest improvements.
  • Excellent time management skills.
  • Problemsolving the ability to identify the cause of issues, critically consider, and offer a range of potential solutions.
  • A proactive, helpful attitude and the ability to be flexible in various situations.
  • Experience in Operations/Account Payable area (nice to have)
  • Catalan (nice to have)

  • Experience building and maintaining relationships.
