    The role:
    We are looking for an Office Manager to join our 3INA Internship programme, and have the opportunity to learn for 12 months all the functions of the position. We do not require previous experience, but it is essential to meet the requirements detailed at the end of the offer.

    Your challenge:
    Reception:
  • Organize and manage reception services and common areas.
  • Welcome guide, accompany, and keep track of visitors' entrances and exits.
  • Telephone assistance: receiving external calls. Resolve requests in each case, or transfer them to the appropriate person.
  • Efficiently manage, and distribute, when necessary, incoming/outgoing mail; whether packages, letters, or other communications.
  • Run errands and perform various tasks related to work and ad hoc projects as assignedOffice:
  • Responsible for implementing and maintaining all office-related procedures, always focusing on sustainability (recycling, and efficient use of water and electricity).
  • Ensure that the workspace, common areas, and meeting rooms are kept tidy and presentable, and provide everything necessary in the meeting rooms (water, stationery consumables, etc.).
  • Ensure the proper functioning of office equipment and facilities (heating, air conditioning, electricity, security, furniture, access cards, etc.). Take the initiative to solve problems and take appropriate measures.
  • Advise employees on any doubts or situations that may arise related to office use.Suppliers:
  • Mantain office consumables supplies; stationery, cleaning, beverages, through weekly orders to various suppliers.
  • Key contact with major service providers; such as travel agency, cleaning company, and security company.
  • Be the main point of contact with our travel agency, as well as with other private transportation platforms (Uber, Bolt, etc.).
  • Catering:management of orders, reception, and distribution in the office when necessary.Relationship with Teams:
  • Collaborate with HR, IT, and other departments to assist with onboarding/offboarding tasks for new employees. This may include hardware delivery/return, request or cancellation of office access cards, and/or preparation and delivery of welcome packs.
  • Support the Co-Founders in:
  • Executive director's agenda management: organize meetings, appointments, and provide reminders.
  • Management of communications, including receiving calls and responding to emails.
  • Organizing trips.

  • Education: Vocational Training in Administration and Finance or similar.
  • Languages: Proficient/Bilingual in Spanish and English.
  • Experience (years/area): No experience necessary, although we value having completed an internship of at least 3/6 months in a similar position.
  • Personal Skills: Planning and organization, communication, teamwork, flexibility.
  • Availability from Monday to Friday in the office (no possibility of remote work due to the nature of the position).
