5+ years of experience assisting at the executive level in a fast-paced environment (i.e FMCG, Telco or Consulting companies)
Bachelor ́s degree
Proficiency with Microsoft Office, specifically Outlook, Word, Excel, PowerPoint, SharePoint
Ability to handle administrative details independently, while keeping team members informed
High level of integrity and discretion in handling confidential information and dealing with professionals inside and outside the company
Very strong written, verbal, and interpersonal communication skills
Experience with event management
Exceptional planning, time management and organizational skills
Experience with international travel coordination & expense reconciliation
Written and spoken English fluency

The IT&ES Hardlines organization is looking for an Executive Assistant who wants to work in a fast-paced, exciting, and growing organization.

We are looking for someone to support Italy & Spain's Hardlines leadership on our team in Milano and Madrid.

This position can be based in Madrid or Milano

Key job responsibilities

Heavy scheduling across time zones and management of calendars
Organizing extensive domestic and international travel
Managing expense report coordination and submission
Communicating effectively with virtual team across Europe
Organizing, executing and assisting with team activities, including allhands meetings and social events
Tracking and driving completion of key actions and following up on outstanding items
Working closely with the Leadership Team to provide support to the organization
Identifying process improvements to improve team efficiency and scalability

Madrid, M, ESP

Grace in complex situations, and ability to switch gears at brief notice
Work effectively with international businesses, distributed teams, and in multiple time zones
Ability to react with appropriate level of urgency to situations and events that require quick response or turnaround
Positive, proactive and able to have fun at work and help others do the same
Spanish and/or Italian are a plus.
