Role summary:
Join our team as a Junior International Corporate Secretary Officer within Apex Corporate
Solutions, reporting to the Head of Operations Corporate Solutions in Valencia, Spain. As a
member of the COSEC Team, you'll collaborate with colleagues to deliver administrative,
compliance, and regulatory services across various jurisdictions.


Key responsibilities:
Proactively assist in the management of a portfolio of clients
Assist in managing contacts between notaries, law firms, banks, auditors, and tax advisors
Liaise with client advisors, banks, brokers, and depositaries to administer client matters
Build and develop relationships with existing clients
Effective collaboration and reporting to team manager(s) and directors
Liaise with other internal teams and divisions as required
Assist with client billing and debtor collection
Ensure good operational practice with adherence to internal processes and checklists
Handle day-to-day corporate operations, ensuring timely completion of tasks.
Prepare board packs ahead of meetings including convening notices, agendas, and
proxies
Participate in client board meetings as necessary, draft minutes and shareholder
resolutions, and secure approval and signatures from directors/Chairman
Assist the team in providing required documents for various purposes
Circulate and track documentation for client transactions (acquisitions, dispositions, capital
calls, distribution to investors, appointments, and resignations etc.)
Prepare bank payments
Organize filings with the regulators
Maintain and administer databases
Prepare SOPs and training material for the understanding and benefit of team members
Oversee client transactions (acquisitions, dispositions, capital calls, distribution to
investors, etc.), circulate and track documentation
Ensure efficient and timely processing of client transactions


Skills / experience:
Proficiency in English (C1 or C2 level) or native English speaker
Possession of a Grado Superior de FP or a Bachelor's degree in administration or a related
field
Excellent attention to details to ensure the accuracy of the documents and correspondence
Exceptional drafting skills, to draft agendas, resolutions, minutes, reports, agreements, etc
Adaptable and flexible approach to learning new systems and operational procedures
Results-driven, with the ability to work effectively in a fast-paced, complex, and dynamic
environment
Ability to work effectively under pressure and within tight timelines, demonstrating excellent
time management and multitasking skills
Strong interpersonal skills, including both verbal and non-verbal communication
Team player with excellent collaborative, analytical, problem-solving, and organizational
skill
Proficiency in MS Office (including Outlook, Word, Excel, PowerPoint)
