Serve as one of two Travel Assistants in the Embassy Madrid Travel & Visitor Bureau, providing the full range of expertise, planning assistance, and travel services for visiting United States Government (USG) officials each year, including White House, cabinet-level, Congressional Delegation, and executive-level visitors and accompanying staff.

Travel Assistant provides Mission-wide guidance on travel-related issues, provides visitor support assistance, and manages the E2 Solutions program for travel as a Super Arranger.

Arranges travel and accommodations for official travel and assists permanent staff and visitors. Helps create, edit, and approve travel authorizations in e2 Solutions, including for Ambassador and Deputy Chief of Mission (DCM).

Negotiates government rates with hotels across Spain and maintains good relationships with local hotels to facilitate support for VIP and TDY visitors.

Drafts travel-related Mission staff announcements as needed. Reconciles monthly centrally-billed travel card invoices.


The Shipping and Travel Assistant is responsible for coordinating and facilitating importation and exportation of household and personal effects (HHE), privately owned vehicles (POV), unaccompanied baggage (UAB), and U.S.

Government equipment and supplies for the Department of State and other agencies. The employee controls the Mission Spain's gasoline duty free purchase program.


EDUCATION:
Completion of secondary school.


EXPERIENCE:

Minimum of three years of progressively responsible experience in the travel field and/or experience in the field of customs and shipping.


LANGUAGE:
Fluent level of English speaking/reading/writing. Fluent level of Spanish speaking/reading/writing.


SKILLS AND ABILITIES:
Ability to draft polished formal communications and reports in English and Spanish is required. Must be comfortable and able to deal with high-level U.S. and local government contacts. Excellent sense of judgment to resolve customer complaints without intervention by others. Well-developed negotiations and planning skills.
