PURPOSE OF THE JOB


Provide administrative support to CRM Division, working together as a team with the rest of the administrative support of the Division ensuring proper compliance of OEC standards, corporate and Finance internal processes.


ROLES & RESPONSIBILITIES

1.

Support in compliance procedures and logistics related with HCP services
:


  • Trainings HCP to employees
  • Proctors and preceptors
  • HCP consultancy services

2.

Support in division HCP professional service agreements:


  • Collection of necessary documentation and followup
  • Contracthub process
  • Autoriza process (Legal department platform for legal aspects contract reviewing)
  • Routing for signature and ensure proper documentation practices for each request

3.

Support in proctor and preceptor actions:


  • Manage logistics for HCPs and data protection requirements compliance

4.

Support in division Activity Related budget control:


  • Regular meetings with RMs to review monthly budget plan
  • Creation of preapprovals of each action and routing for approvals
  • Tracking of monthly budget plan on a weekly basis
  • Support to RMs in achieving the budget
  • Monthly provision record for Finance Department
  • Support in Finance quarterly cycles
  • LBEs, creating and updating Activity Related budget.

5. Division invoice processing

  • Request and collect support documentation for each invoice. Review all documentation is correct.
  • Send invoices to Genpact
  • Concur
  • Tracking invoices payment
  • Support and followup on incidents

6. Vendor creation in Vendor Master system

7. Support in 3PP process for all third party entities working with division

8. Support in Sales actions monthly monitoring meetings

  • Followup on actions treated in every meeting
  • Meetings minute preparation
  • Creation of the proper documentation to be reviewed every month in the meetings

9. Logistic vendor incidence information collection for monthly tracking in Management board meetings

10. Vendor division contracts control and update (Storage rooms, services, equipment...)

11. Support in division abseil letters

Miscellaneous division administrative support:
staff doubts solving in compliance and company procedures, business cards, dosimeters, maternity presents, caterings for internal meetings ( )


EDUCATION & COMPETENCIES:


School or University gualifications:

  • High school and a few years of experience in a similar commercial environment.
Knowledge and skills (e.g. languages, PC,...):


  • High English level.
  • Information System knowledge (Microsoft Office)

Natural abilities:

  • Professional image
  • Communications skills.
  • Ethical character
  • Willing to travel extensively.
  • Hard Worker.
  • High level of confidence.
