WHAT WE ARE LOOKING FOR:
Administration & Reach Assistant


JOB PURPOSE

  • Provide office support to the Country Manager and office
  • A21 Spain administration
  • Support the A21's Spain REACH department

KEY RESPONSIBILITIES & ACCOUNTABILITIES

Administration

  • Assist Country Manager and office in calendar management
  • Data entry and formatting
  • Research on events, conferences and trainings of interest to the team
  • Ensure all administrative resources are delivered to the office
  • Prepare letters and documents for staff members
  • Manage the A21 Spain's holiday calendar
  • Filing personal documents of the A21 Spain's staff members
  • Stock checking and controlling of office supplies
  • Support ordering office supplies and submit for approval before purchasing
  • Management of the Clarety platform, including data upto date and consistently entered in a uniform and accurate way
  • Arrange the transportations, book flights and hotels for the local and global team
  • Prepare logistics for guests visiting the A21 Spain office

Financial & Management Accounts

  • Support the Global Accountant and the Country Manager with timely financial and activity related reports and advice
  • Prepare monthly, quarterly and EOY financial statements in a timely and accurate manner
  • Maintain daytoday financial transactions for Spain
  • Ensure all rent and local expenses are paid in a timely manner
  • Writing thank you cards and gifts

Program Facilitation

  • Supporting REACH Coordinator for coordinating and executing school REACH presentations and events across the country
  • Maintain a record and organisation of all A21's resources in the office
  • Assist and take part in all A21 prevention and awareness campaigns and events organised by the office
  • Assist the REACH Coordinator in the development of programmes and projects, especially in the area of Education
  • Proactively produce new ideas for contacting and partnering with organizations
  • Proofreading of documents

Other Duties

  • Generally contributing around the office and as needed on other nonspecified projects
  • Any other duties as directed by the Country Manager or the Reach Coordinator

PERSONAL SPECIFICATIONS - Qualifications, Experience, Knowledge & Skills

SKILLS & ABILITIES:


  • Excellent verbal and written communication skills, including the ability to produce reports, update files and other materials for a variety of audiences
  • Fluent in spoken and written Spanish and English
  • Experience in conducting studies and research
  • Ability to develop projects relevant to identified problems
  • Ability to work under pressure and meet deadlines
  • Highly detailed oriented
  • Organised and able to accomplish extensive administrative goals

ESSENTIAL KNOWLEDGE & EXPERIENCE

  • 23 years experience in related field
  • Indepth understanding of the problem of human trafficking and its situation in Spain
  • A track record of successfully developing positive, productive and collaborative working relationships with external agencies
  • Understanding of database or capacity to learn database
  • Experience with complying with company policies and procedures
  • Experience of working with people from different cultural and ethnic background
  • Experience of working in the human trafficking sector or similar sectors
  • Understanding of the support needs of individuals who have been trafficked
  • Experience of accurate record keeping, report writing and case file management

EDUCATION

  • Educated to degree level in related field

  • Experience working in administration and finance
