ABOUT THE ROLE:


We are looking to hire a office manager& administrative assistant to be the first point of contact for all office matters as well as giving support to the finance department in all project management matters.

Be part of growing agency full of projects and initiatives.


This is a wide-open role with different tasks that requires someone with energy, pro-active, eager to learn new things and get new tasks and with a positive to do attitude.

Key responsibilities:


  • Office Management_
  • Front office administration answering calls, greeting visitors, package management
  • Meeting assistance including organization of catering or other general office needs
  • House maintenance and organization of any special need with the building on office maintenance
  • Travel booking and organization as well as checking invoices
  • Ensure housing catering (coffee, kitchen basics, WC basics)
  • Packaging organization: Assist on messenger arrangements
  • Ensure to manage all requirements and needs with the building and risk prevention.
  • Finance & Admin_
  • Project Management: assist the accounts teams on the opening of jobs, Po generation
  • Billing verification
  • Timesheet control and timesheet analysis
  • Report generations
  • Adhoc requests

Skills & Experience:


  • Prior reception experience required
  • Administration experience
  • Proactive, eager attitude to learn
  • English and Spanish language is a must for this role
  • Dynamic, motivated objective orientated
  • With communications skills
  • Accounting or business studies a plus
  • Experience of working in multidisciplinary teams
  • Position will be office based (5:5)
